How Insurance Chimney Claims Work

This page is the playbook. Five steps, First Notice of Loss through final carrier billing — the same process Texas Chimney Experts runs on every DFW file, whether the call concerns a chimney fire, a lightning strike, storm damage, water damage, or animal damage.

Step 1 — File First Notice of Loss (FNOL) with your carrier

First Notice of Loss is the filing that opens the claim, and every carrier takes it by mobile app, online portal, or phone. File the moment you discover damage. Most policies require 'prompt notice,' and a delay of weeks can put coverage itself in question.

Filing gets you a claim number and, typically within 24-72 hours, an adjuster's name and contact. Keep both. Every document we generate on the claim references that claim number, and our communication runs directly to the assigned adjuster.

FNOL before our inspection or after — either sequence works. Many homeowners schedule us first: we document the full scope of damage before the adjuster arrives, and those findings enter the claim file from day one.

Step 2 — Free on-site inspection + documentation

The inspection costs nothing and produces the documentation set an adjuster expects to see:

  • Drone aerial photo set — full perimeter, crown from directly above, chase-cover detail, flashing close-ups. This is how storm and lightning claims get supported when the damage sits beyond ladder-only access.
  • Internal video flue scan — high-resolution chimney camera footage recording flue tile cracks, creosote glazing, and the condition of the smoke chamber.
  • Written NFPA 211 inspection report — Level 1 or Level 2 findings, documented to the National Fire Protection Association standard adjusters recognize.
  • Moisture mapping — infrared plus pin-meter readings across interior masonry, recording the water-intrusion path and how far it has traveled.
  • Xactimate-format XML estimate — line-item scope in the estimating format every major insurance adjuster works in, ready to drop into the claim file.
  • Supplemental claim documentation — cracked flue tiles, failed liners, or smoke chamber damage exposed during teardown get filed as a supplemental, with photo evidence and an Xactimate revision.

Nothing gets skipped: exterior masonry or chase, crown, cap, flashing, flue interior, smoke chamber, firebox, damper, and any attached gas appliances. Damage found in any of these can belong to the covered claim.

Step 3 — Xactimate-format estimate delivered

Every major US insurance carrier estimates property claims in Xactimate. Submit in that format — line-item scope, current regional pricing, codes the adjuster recognizes — and approval moves far faster than it does on a hand-written quote.

Our insurance estimates begin in Xactimate; they never get converted into it later. The deliverable is two files: an XML the adjuster imports straight into the claim file, and a PDF copy for your own records.

Step 4 — Adjuster review + supplementals as needed

The adjuster takes our estimate, sometimes inspects on-site, and lands on one of three outcomes: approval of the scope, requested modifications, or partial approval. On every claim we make ourselves available to walk the adjuster through the findings and answer questions.

Expect supplementals — additions to the original claim scope, filed when repair uncovers new damage. They are routine on chimney claims. The adjuster's initial scope prices what shows on the exterior; teardown regularly exposes more: cracked flue tiles inside a flue that looked intact, a damaged smoke chamber behind sound brick, a hidden liner failure.

Each hidden-damage finding gets photographed and submitted as a supplemental Xactimate revision to the carrier while the work is underway — so the final settlement matches the actual repair scope, not the surface scope.

Step 5 — Approved work executed; carrier billed direct

Scope approved, work scheduled. Most chimney repair scopes run 1-7 days depending on size. A major rebuild — full chimney rebuild, or full liner replacement plus smoke chamber rebuild — can take 1-3 weeks.

Completion comes with its own file: a photo set of the finished work, a certificate of completion, an NFPA 211 post-repair inspection report, warranty paperwork, and a final invoice in whatever format your carrier requires.

The approved amount bills straight to the carrier. Your side of the ledger is the deductible plus any non-covered upgrade you elected — a copper cap in place of standard galvanized, for example. No upfront contractor payment. No balance billing on the approved scope.
